About the Executive Assistant 

  • You will assist our COO in  accomplishing their respective missions to run the business

  • You must be generally tech savvy, able to multitask, and manage a plethora of on-going projects and tasks— and yet be able to follow those workloads through to completion. On a smaller scale, you will have projects to manage on your own.

  • You must be able to navigate through a variety of social circumstances with C-level —  corporate outings, charity events, startup community events, trade association conferences, etc. Throughout, you must be a clear communicator and an authoritative personality, able to deliver and relay messages to outside groups on behalf of our COO


About You

  • 10 years minimum experience as an Executive Assistant to the CEO, General Manager, or President of a company.

  • Solid knowledge of file organization

  • Possessing strong written communication skills

  • Must be a team player, can relate well with all levels in the organization.

  • Extremely well-organized and systematic

Key Responsibilities

Provides high level of administrative and secretarial support to the CEO of the company, including but not limited to:· 

  • CALENDAR MANAGEMENT - organizes schedules (meetings, appointments, events, seminars, trainings, business and personal travels)·        

  • Records, transcribes and distributes minutes of the meetings·  

  • E-MAIL MANAGEMENT - manages the Executives' inbox and responds to emails as necessary·        

  • TRAVEL MANAGEMENT - processes travel arrangements which includes flight bookings and visa applications (local and international)·        

  • EXPENSE MANAGEMENT - manages reimbursements and expenses (credit card payments, insurance, home landline, electricity bills, etc.)·        

  • FILE MANAGEMENT - creates an organized structure for files and documents for easy retrieval and handles all information with high level of confidentiality·        Safekeeps licenses, permits, duplicate keys ·        

  • EVENTS MANAGEMENT - organizes hotel bookings and other reservations for the COO and their guests' accommodations or venue for meetings·        

  • Also assists in handling events and coordination for the CEO and COO·       

  • OTHER ADMIN TASKS:· Handles various requirements for the Office of the President·        Performs other tasks assigned by the COO
